Print costs live in the unit math: one page is cheap, a whole run is not. This tool estimates printing costs per page from the inputs that actually drive the bill - paper size, color mode (monochrome or full color), quantity, and finishing options - and reports a per-page figure alongside the job total. The thing users most often misread is the per-page number itself: it is a consumables-level estimate derived from size and color, not a retail price. Treat it as the floor a print shop's quote should sit near, and use the gap to judge the quote.

Size and color set the per-page rate

The per-page figure is derived from the inputs that define the job: paper size and color mode. Larger formats cost more per page than smaller ones, and color costs more than monochrome, so the rate shifts as soon as those are chosen. Quantity and finishing then combine with that rate to produce the run total the tool reports.

Finishing is added on top

Finishing options - binding, lamination, hole punching, and similar line items - are estimated separately from the per-page rate and added to the job total, so two jobs with identical pages and quantities can land on different totals purely because of finishing. It is also the input people most often forget, which is a common reason the estimate reads lower than any actual quote.

Limits and checks

  • The result is a consumables-level estimate. Setup fees, labor, equipment time, and shop markup are not part of per-page cost math, so real quotes almost always land above the estimate; read the difference as the shop's overhead, not an error.
  • Per-page figures are averages over typical coverage. A page of dense photos consumes more colorant than a page of text, so image-heavy documents can exceed the estimate even when every input is right.
  • Paper size systems are easy to mix up. A4 and US Letter are close in dimension but are different formats with different per-page rates, and choosing the wrong size - or skipping a finishing option - quietly changes the total.

Will my print shop charge what this tool says?

No, treat it as a floor. The tool estimates the direct cost drivers - paper size, color mode, quantity, finishing - which cover the consumables side of the job. Shops add setup, labor, equipment time, and margin on top, so the actual invoice is typically higher; use the estimate to test whether a quote is reasonable.

Why is color so much more expensive per page?

Color printing lays down colorant in multiple separations across the full page, while monochrome uses a single black cartridge, so per-page color rates run well above monochrome rates. That gap is why the same document often jumps a budget threshold as soon as it is switched to color; switching to grayscale is the fastest lever this estimate shows.
